Are you all tired of hearing about this? I sure am tired of venting about it. The devil is hard at work here. That's the only explanation I have for all of this. Everything else in this process has been time consuming, but not overly difficult. Hopefully the next I post, it will be with rejoicing over conquering this evil hurdle!
Twice this week, AHMSI has overnighted a document. Both of them have been done incorrectly. Neither are notarized properly with a notary statement filled out. One doesn't even have a bank representative signature. They used some sort of electronic signature so we're not sure what they were notarizing. The one that does have a signature is not an original. We think one dept. signed it, scanned it, and sent it to another dept. to notarize.
I spoke with the same supervisor today that I spoke with yesterday. I explained everything AGAIN as clearly and as patiently as I could. I asked if she could call me before overnighting anything this time, so I can go over it with her to make sure it's right. I have not heard back from her yet. So I don't know whether she will call me or if I will have another document show up tomorrow morning.
In the meantime, we are going to take the verification of mortgage document that we have (one that's not notarized at all) and attach a sheet that is the same as the one used to notarize the immigration approval. We will use the exact same form used for the immigration approval notary, change the wording to make it applicable to our verification of mortgage (complete with notary statement) and get it notarized at our local bank. This sheet basically states that the attached document is true and we sign it. This is the only other idea I have. We will send it for approval through Reece's Rainbow's contact in Ukraine and pray that they give it the okay!
Goodness gracious....I cannot believe it. Ugh.
ReplyDeleteIf this option works then we can get it apostilled here in VA, as soon as we get word that it's okay. Our dossier would be ready to go!! If we get the document from TX, then we still have to send it back to TX for the apostilling.
ReplyDeleteIf they don't get it right this time around, here's what I would do: I'd hire an attorney that's situated near the mortgage company offices.

Then, he can go to the office in person and see to it that everything is done properly. That's what I'd recommend. The cooperative staff member whom you've been working with is apt to be losing patience (despite the fact that it's their own ineptitude that's the problem!!) and it's just a matter of time before they say, "We're done. We tried. Use what you have."
Or, perhaps you could create a mock-up document with precise directions (e.g., "original signature from Mr. x here" with an arrow pointing to the spot where Mr. X needs to sign it. Do this for every component of the letter.)
Or maybe you could get the one letter that's closest to correct and write in a few directions with arrows. (e.g., "The letter should look exactly like this, except you need to move x here [with arrow] and Mr. X needs to sign here [with arrow]...")
Perhaps that would help? They could use that as a guide to ensure they get all the components correct?
Otherwise, I'm at a loss in terms of what to suggest. I just don't understand what's so difficult -- it's just a matter of following the directions, not brain surgery.

Thanks for all the tips. Some of what you all have suggested is what we're doing. We are going to scan one of their letters (that's on their letterhead) and put it into a word document that we can alter. We will take out all unnecessary info. to shorten it so there is room for the notary statement. We will also take out the signature also. We will fax it to both people who have been cooperative and tell them to simply sign this document and have a notary properly notarize it. Since the notary statment will already be there, it shouldn't be a problem. We have tried every way possible to explain what we need. Part of difficulty in the beginning was getting a different person each time we talked to them. And then trying to assess what the difficulty is in order to know how to help them along. I have never dealt with so many incompetent people in one company ever! It's crazy! I wonder if a job qualification there is to have an IQ under 60! Definitely no brain surgeons there : )
ReplyDeleteI am worried that even though they are trying to help us, I can hear their frustration in their voices over the phone. When every ounce of my body wants to scream at them, I have remained as nice as possible because I REALLY want them to do it. It has been almaost 2 months now and 3 documents done incorrect. And at one point, a supervisor told us they wouldn't do it. That was the guy I yelled at. So I learned that isn't going to get me anywhere! Thanks again everyone : )
And we've tried the mock up document. That's not going to work b/c they say they can't copy a document/letter that is not theirs onto their company letterhead. We had thought about Steve flying out to their headquarters and getting it done in one day. But I do like the idea of hiring a lawyer to do it on our behalf. I wonder if that would be cheaper than Steve taking a trip out there. The one benefit to Steve going is he can get it apostilled while there.
ReplyDeleteCalled a lawyer out in TX....they want $2000 retainer fee before they even start charging by the hour! It would be cheaper for Steve to fly out.
